To provide administrative support to the Child in Need / Child Protection team; be point of contact for telephone calls and emails to the team and provide accurate minutes for complex sensitive and emotionally demanding multi agency meetings.

 

JOB PURPOSE

 

To provide secretarial and administrative support to the Social Work Team enabling the most efficient use of their professional time and helping to develop a team identity including the provision of central communication links for public and other professional agencies.

 

PRINCIPAL RESPONSIBILITIES

 

1

 

Typing provision for the team; letters, legal documents, reports and child related documentation

 

2

 

Receive phone calls and other communications to enable effective liaison with agency partners

 

3

 

Maintenance of files, filing and other admin systems

4

 

Coding financial information, assist with Imprest account

5

 

Maintaining confidential client information; updating child care systems

6

 

Attending and minuting professional meetings

7

 

Support social care staff, managers and practitioners

8

 

Maintain databases/requests medicals assessments

Notwithstanding the detail in this job description, in accordance with the Council’s Flexibility Policy the job holder will undertake such work as may be determined by the Director/Corporate Manager from time to time, up to or at a level consistent with the Principal Responsibilities of the job and in any location within the Borough of Cheshire East.

 

 

Qualifications

 

 

RSA II / III Typewriting / Word Processing equivalent

 

NVQ Level 3 (Admin) / BTEC National / 2 ‘A’ Levels or equivalent/ECDL

 

AND / OR

 

Experience

 

Team Secretary

 

 

Previous clerical/secretarial experience

 

 

Reasonable time in admin using varied skills in a busy setting

 

 

Job Related Knowledge

 

 

Ability to offer support to others to ensure office systems are effective

 

Word processing skills

 

Knowledge of Windows, Excel Spreadsheets and Microsoft Office

 

Filing systems

Minute taking

Financial systems

 

Data collection for performance management purposes

Articulate language

 

Good telephone answering manner

 

Ability to act upon own initiative to see what needs to be done, and do it
